Typing speed requirements by job: what employers actually ask for

Data entry, transcription, admin and customer service: the WPM and accuracy each role asks for, where those numbers come from, and how to check where you stand.

A job ad says 45 words per minute. You take a test, score 52, and put in the application feeling fine about it. Then the employer's own test fails you.

The number on the ad was half the requirement. The other half was accuracy, and it was either unstated or buried in a phrase like "high degree of accuracy" that nobody reads as a threshold. It usually is one.

Where these numbers come from#

Almost no typing speed requirement is set by a standards body. Three sources produce the figures you meet:

  • A published standard, which is rare and almost always governmental. These state their terms exactly, including the error allowance.
  • A certification body, which applies to a handful of professions and tests under conditions far stricter than an office would.
  • The employer, which is where nearly every number you will see comes from. Somebody wrote it into a template years ago and it has been copied since.

That last category is worth holding lightly. The bands below are what turns up again and again in postings for each role. They are a guide to what you will meet, not a rule anybody enforces, and two employers hiring the same job title will ask for different numbers.

Read down the last column before the first. A number with an authority behind it means something specific, and a number from a job ad means somebody wants a filter.

Role by role, and what the number is really for#

Typing speed requirements by job vary less than the job titles suggest. Most of the spread comes from how much of the work is typing rather than from how fast anybody expects you to be.

Data entry#

The role that states a number most often, because the number is the job. Alphanumeric postings cluster around 40 to 50 words per minute with 98% or 99% accuracy, and the accuracy figure is the one they mean: a mistyped policy number costs more than a slow afternoon. Numeric work is quoted in keystrokes per hour instead, and measured on the number pad.

Administrative and executive assistant#

These posts ask for 50 to 60 when they ask at all. The typing is incidental to the role, so the number screens for general office fluency rather than for output. Nobody times you again after you are hired.

Transcription and captioning#

Higher, usually 60 to 75, and here the speed genuinely limits earnings, because most of the work is paid by the audio hour. A transcriptionist at 45 words per minute is not failing a test. They are earning about half of what the person beside them earns for the same file, which is a harsher way to learn the same lesson. The judgement lands on the finished file rather than on a live score, so research and formatting come out of the same hour.

Legal and medical secretarial#

This work rarely publishes a speed, and when it does it borrows the administrative band. What it actually demands is accuracy on vocabulary a spellchecker cannot help with. Drug names, case citations and dosages fail silently: every character is legal, so nothing turns red, and the error survives into a document somebody relies on.

Customer service and live chat#

Postings ask for 40 to 60, and this is the one role where the advertised number understates the requirement. Chat agents handle several conversations at once, so the constraint is composition rather than transcription. Typing from your own head is far slower than copying a passage: a 1999 study by Karat and colleagues measured 19 words per minute for composition against 32.5 for transcription, and a chat queue is composition all day.

Software and technical roles#

These almost never state a figure, and any list telling you developers need 70 words per minute invented it. The bottleneck in that work is not the keyboard. What does matter, and goes unmentioned, is fluency with symbols and punctuation, where most typists lose a large part of their prose speed.

The one requirement that states its terms#

United States federal job announcements for office automation roles, which covers a great many secretary, legal assistant and medical support assistant posts, ask for 40 words per minute. They then do the thing almost no employer does: they say what counts. The measurement is a five-minute sample, and it allows three errors or fewer. An applicant can prove it with a performance test, a certificate from an authorised organisation, or by certifying it themselves, and the result stands for three years.

Now do the arithmetic on that error allowance, because nobody advertising it seems to. Forty words a minute across five minutes is 200 words. At the standard five keystrokes per word, that is about a thousand keystrokes. Three errors in a thousand keystrokes is 99.7% accuracy.

The federal typing standard asks for an ordinary speed and a near-perfect accuracy. Everybody reads the 40 and nobody reads the three.

Forty words per minute is unremarkable. The Karat study above put average transcription at 32.5 words per minute, so the federal bar sits modestly above what an average adult already does. The accuracy half is a different story: 99.7% is a standard most people cannot hold for five minutes, and it is the half that fails applicants.

KPH, and the number that looks bigger than it is#

Data entry postings often quote keystrokes per hour instead of words per minute, and 10,000 KPH reads as a wall until you convert it.

A word is five keystrokes by convention and an hour is sixty minutes, so KPH is words per minute multiplied by 300. Ten thousand keystrokes per hour is 33 words per minute. Eight thousand is 27. Those are modest speeds wearing a large number, and the reason employers use the unit is that it measures sustained output over an hour rather than a sprint over a minute.

One caveat that matters if you are applying for numeric work. Numeric KPH is measured on the number pad, which is a different skill from prose typing and involves four fingers rather than eight. A strong words-per-minute score predicts very little about it. Practise the pad on its own if the role is a numbers role.

The other caveat is the hour itself. An hourly rate absorbs every pause in it: reading the next form, tabbing between fields, deciding what a smudged digit says. So 10,000 keystrokes per hour does not mean somebody typing at 33 words per minute for an hour. It means somebody whose bursts run well above that, with the rest of the hour spent doing the job. Convert the number to compare it against an ad, and do not read the result as your test score.

Court reporting is not a typing job#

The National Court Reporters Association certifies its Registered Professional Reporter on three five-minute dictation legs: literary at 180 words per minute, jury charge at 200, and testimony at 225. Each must be transcribed at 95% accuracy.

Those numbers turn up in lists of typing requirements, where they frighten people out of a career they were considering. They belong to a stenotype machine, which is chorded: a reporter presses combinations that produce whole syllables and words rather than one letter per keystroke. It is not a faster QWERTY typist. It is a different instrument, learned over about two years, and comparing your keyboard speed against 225 is like comparing your handwriting speed against a printing press.

The number on the ad is a floor#

An advertised minimum is a screening threshold, and screening thresholds are written to be met comfortably rather than exactly.

Somebody who tests at 45 on a good afternoon, on their own keyboard, with a familiar passage, is not a 45 words per minute typist in the room where it counts. Employer tests happen on unfamiliar hardware, on text you have not seen, usually with somebody waiting. Speed under those conditions lands below your practice figure, and the gap is wider for people who are close to their ceiling.

Aim ten to fifteen words per minute above the advertised floor before you treat the requirement as met. If the ad says 45, be comfortable at 55 to 60.

What a pre-employment test actually measures#

Most run between one and five minutes on text chosen to be unhelpful: names, addresses, numbers, occasionally a passage of policy prose with unusual punctuation. Several score gross speed and then subtract for errors, which is why a fast, messy run can score below a slower clean one.

Ask two questions before you sit one, if you get the chance. Whether backspace is allowed, and whether the score is gross or net. Those two answers change the strategy completely: a test that forbids correction rewards caution, and a net-scored test with free correction rewards momentum.

Accuracy is the requirement that fails people#

Speed is the number everybody trains. Accuracy is the number that decides the outcome, and it behaves differently: it does not improve by trying harder, and it gets worse the moment you push your speed toward its limit.

The practical approach is unglamorous. Find the pace at which you make almost no errors, spend your practice there, and let speed rise underneath it. A hand that lands on the right key slowly gets faster on its own. A hand that has learned to land on the wrong key quickly has to unlearn it first, which takes longer than learning it did.

Why your score here may read lower than theirs#

Typepace judges every position on the first attempt. Backspace repairs what you see on the screen, and it does not repair the record, so a character you typed wrong and fixed is still counted wrong.

Most typing tests do not work that way. They compare the finished text against the target, which means a run full of corrections can finish at 99% while the same run scored on first attempts sits several points lower. Neither number is dishonest, but they measure different things, and ours is the stricter one. If your accuracy here reads a few points below what an employer's test gave you, that gap is the reason, and the figure to trust for improving is this one.

How to check where you stand#

Take a full minute rather than thirty seconds. Speed over thirty seconds flatters you, and every requirement in the table above is measured over a longer stretch.

  • Run a timed typing test at the default minute and note both numbers, not just the speed.
  • Compare against the band for the role you want, then add the ten to fifteen word margin.
  • If you are below it, work on accuracy first and check again in a fortnight. Speed follows.
  • If you are at or above it, take a second test on punctuation or numbers, whichever the job involves. Most people's figures fall sharply outside plain prose.

For an application that wants proof rather than a claim, a run of at least a minute at 40 words per minute and 90% accuracy earns a Bronze certificate here, 60 and 93% earns Silver, and 80 and 95% earns Gold. Each carries a number an employer can check at typepace.com/verify without an account, which is a stronger line on an application than a self-reported figure. It is not an accredited qualification and the certificate says so.

Two questions worth answering#

Should I put a typing speed on my CV? Only for a role that asks for one, and give both numbers when you do. "68 wpm at 97% accuracy" reads as somebody who has measured themselves. "Fast typist" reads as somebody who has not.

I am below the requirement. How long to close the gap? For a gap of ten to fifteen words per minute, a few weeks of short daily practice, provided the practice is deliberate rather than repetitive. Start with the finger map if you have never learned one, because the ceiling you are hitting is usually a technique ceiling rather than an effort one. Check what average looks like by age if you want to know where you sit before you start.
